Landscaping business owners, let’s get one thing straight: Your past does NOT define your future. If you’re willing to get your tail out of bed and work ON your business—not just IN it—every single week, you can build an exceptionally profitable landscaping company. Not just a job, not just a paycheck, but a real business that works for you, not just because of you.
In Japan, they call it Kaizen—continuous improvement. But here in the land of opportunity, I call it taking control of your own damn future. It’s about refining, tweaking, and optimizing your business so that it thrives on systems, not just on you grinding it out day after day.
The roadmap is simple. It boils down to three core principles:
- Price Right
- Keep Promises
- Create Clients
Each of these has six success keys—18 golden rules to get you from overworked and underpaid to systemized and highly profitable. Let’s break it down.
We built this cool little process map to explain the interconnectedness of these three systems. When a contractor makes the decision to become system dependent and follow the formula they gain clarity, confidence and cash!

Step 1: Price Right – For Your Company & Your Customer
The first step to a profitable landscaping business is knowing your numbers and charging enough to cover your costs and make a profit. You can’t just guess what to charge and hope it all works out. You must price for profit—not survival. You must have profitable work while winning work to recover Overhead. Here’s the six-part formula for getting it right:
- Budget – Set your budget! (Know your numbers!)
- Overhead Recovery – Recover overhead. (Stop working for free!)
- Estimating – Estimate right. (Every job should be profitable!)
- Bidding – Bid smart. Don’t race to the bottom. (Always give 3 prices!)
- Sales – Sell value, not a price. Sell a solution. Give details. Ask for the sale and ALWAYS follow up!
- Job Costing – Job cost everything. Measure, adjust, and improve! Did your job cost what you thought it would? More? Less? You must check your work and find the losing jobs.
If you can’t nail your pricing, you’ll always be chasing your tail. And let me tell you… that’s no way to build a real business.

Step 2: Keep Promises – Build a Business That Runs Smoothly
Pricing is just the first step. You must deliver on your promises to your clients, employees, vendors, and the taxing authorities. A real business doesn’t just depend on YOU to make things happen—it depends on SYSTEMS. Here’s how to make sure your business runs like a well-oiled machine:
- Company – Write down your company vision. If it’s in your head, it’s a wish. If it’s in writing, it’s a system.
- Contract – Get your contracts in order. Your team and clients should know exactly what is expected.
- Team – Build a strong team. Building wealth from landscaping is much easier when you hire employees!
- Training – If you don’t train people, you’re basically paying them to make mistakes. Your employees need behavioral, technical and business training.
- Feedback – Some feedback is good, some is bad. But all feedback is an opportunity to learn and improve.
- Management – Management is about adjusting as you grow. Fix problems, rewrite contracts and hold employees accountable. Keep your promises!
The best landscape companies aren’t just filled with hard workers—they’re filled with people who know exactly what’s expected of them because their leaders have set clear standards.

Step 3: Create Clients – Get ‘Em, Keep ‘Em, and Fall in Love With ‘Em
A profitable business isn’t built on one-time jobs. It’s built on repeat business and referrals. Landscaping isn’t a “set it and forget it” service—clients need ongoing maintenance, upgrades, and new projects. Here’s how you create and KEEP clients for life:
- Marketing – Build awareness, create a perception of value and drive desire to BUY NOW! Provide education and continue to communicate!
- Lead Generation – Use multiple channels and marketing types to appeal to the largest audience possible.
- Needs Analysis – Sift, sort, and select. Not every lead generated is for you! No fit? Walk away and move on to the next!
- Lead Conversion – Will you buy from us? Ask for the sale and then FOLLOW UP!
- Billing – Get paid and ask for feedback! Respond quickly and ask for testimonials and referrals from happy clients!
- Client Retention – Newsletters, emails, phone calls—staying in front of your clients keeps them coming back. Check in. Offer education. Thank them. Ask how you can help!
If you’re always scrambling for the next job, you’re running on a hamster wheel. Get off the damn wheel and start building a client base that sticks with you for the long haul.
